As an Executive Assistant you provide high-level administrative and organizational support to the management team in an international environment.

In this role you ensure smooth day-to-day operations by handling communication, scheduling, documentation, and coordination of tasks in a fast-paced high-tech environment.

Organization & Administration

  • Professional management of schedules and travel arrangements, including thorough preparation and follow-up of meetings
  • Internal and external communication, as well as reliable handling of correspondence
  • Creation, maintenance, and structured management of documents
  • Organization, coordination, and continuous optimization of internal processes
  • Management and filing of important documents and records – both digital and physical

Accounting & Billing

  • Preparation of customer invoices
  • Preparation of accounting records for the tax advisory office
  • Review, allocation, and posting supplier invoices and accounting entries
  • Processing of travel expenses and reimbursement claims
  • Confident handling of the inventory management / ERP system

Support to Executive Management

  • Research, analysis, and clear presentation of relevant information
  • Support in the planning, organization, and follow-up of meetings, appointments, and events

Jouw toekomstige werkplek

This is what you bring to the table

  • Completed commercial education (e.g. IHK qualifications) or a comparable qualification
  • Knowledge of accounting and experience with DATEV accounting software is an advantage
  • Experience in a secretarial role preferably in a technical environment
  • Excellent proficiency in MS Office applications
  • Confident and efficient use of softwaretools and business systems (e.g. internal project and time-tracking systems / MS Dynamics)
  • Fluent in German and English
